COINS Features

Study Management

Design your study in COINS! The versatility of study visits, participant categorization and event schedules allow you to tailor any study to meet your data collection needs. We can also help to ensure compliance with IRB expiration reminders, max study enrollment notifications and specific user permissions.

Additional Features:

Subject Tracker: help study staff to log and track custom participant information. Trackers can help manage and log phone contact, visit progress, medication compliance, etc.

Inclusion enrollment report: automatically counts the demographic statistics and inserts them into the NIH Inclusion Enrollment Report format for your next NIH Progress Report.

Event schedule: use our study visits and participant groups to set up your study protocol.

Event Calendar: view your participants’ upcoming visits and schedule at home assessments.

Imaging Data

Our DICOM receiver collects, archives, and imports imaging data, requiring no user intervention. It controls for mistakes at the scanner with participant enrollment and typo checks.

No DICOM receiver? No problem! We have a DICOM import tool that allows you to upload and rename DICOM files to make available in COINS.

Additional Features:

Behavioral Uploads: other data files collected during a scan session (e.g., stimulus response) can be zipped and uploaded to the file system via the web interface.

Scan Time Billing: through a credit decrementation system users are able to bill scan time to user defined charge codes.

DICOM QC: set parameters for each series’ individual DICOM headers to view outliers.

Assessments

Start assessment data collection and entry with little or no training. Our intuitive interface and several of entry options make collecting data efficient and streamlined.

Share, copy or import your instruments quickly to get your study up and running. We have a large instrument library to choose from or else you can create your own!

Among the basic question types we also offer conditional jumping, critical question flagging, auto-populated fields (data from one question to another), auto-scoring, video/image upload options and more!

Additional Features:

Participant Queue Management: choose exactly which assessments and the order in which you would like to present them to your participants. Make templates to match your study protocol!

Assessment Imports: import data from past studies or data that has been exported from a different program with an easy import template.

Offline Entry: if you work in the field collecting data internet can be unreliable. Offline COINS (oCOINS) allows you to download your study instruments in a browser cache and pull them up for entry offline. Once you have internet connection again you can sync the data directly to COINS!

Ad hoc data backfill: for total, average and other formula questions that you forgot to add when you started collecting data. You can create the formula and backfill the data!

Radiology Review

COINS makes the radiology reading process intuitive and efficient for the radiologists and the administrative staff.

Happy participants mean better retention and easier data collection. We have built tools to help ease the burden on participants. Our Participant Portal allows them to complete assessment data from anywhere. From this portal they can also download their radiology review and view the studies in which they are enrolled.

Participant Goodies

Participant Portal: allows participants to complete assessments from anywhere.

Self Enrollment: for recruitment studies or consent waived studies participants can enter their contact information and enroll themselves in a study.

Auto-queuing: queue assessments automatically based on your study protocol. Control the date and time at which you would like to the assessments to become available to participants. Also, decide how long they will have to complete them.

Auto-notifications: send automated email reminders to participants about their upcoming assessment queue or for any other general study reminders.

Data Sharing

COINS aims to foster a data community by increasing data sharing capabilities among investigators. The goal is to keep investigators in touch with each other and aware of data that is collected. Improving the ability to share data and study tools reduces duplicate efforts and gives way to more efficient research. The Data Exchange is a tool that allows investigators to request and share data with other investigators.

For investigators in closer collaboration, study portals serve as a central place for monitoring enrollment progress, quality assurance, document exchange, etc. Progress reports within the portals provide a complete workflow overview of a study to identify missing data at one glance. Internal and external collaborators can use the portals to access all data sources associated with their studies.

Privacy and Security

Protection is very important to investigators conducting human subject research. As such, this database has been developed following Health Insurance Portability and Accountability Act (HIPAA) guidelines to facilitate a safer and more protected environment in which to collect and store sensitive data. COINS provides a way to give granular level of access to your study to reduce risk of exposure to sensitive participant data.
